Please read this Privacy Policy together with our Terms of Use.
This policy explains:
- what information we collect,
- what we do with it,
- and your rights to access or delete it.
For All Visitors #
When you visit our site, we may collect:
- your IP address
- your browser and device information (user agent)
We use this to:
- help detect spam or abuse
- adjust content and layout for your device and location
This data is stored for a few days before being deleted.
Cookies #
We only use cookies that the site needs to work. We do not use cookies to track you, and we do not use advertising or analytics cookies.
We use three cookies:
- Session cookie: keeps you logged in while you use the site. It is deleted when you log out or close your browser.
- Remember me cookie: only set if you tick "Remember me" when you log in. It lasts 30 days from your last visit, works per device, and is deleted when you log out on that device.
- Language cookie: remembers which language you chose, so you do not have to pick it again.
We also store a small note in your browser to remember that you have seen our cookie message.
We do not use third-party tracking cookies, such as Facebook or Google Analytics.
Spam Protection #
Our contact form and our join form use Google reCAPTCHA to stop automated spam. When you use these two forms, Google receives some information about your visit, and may set its own cookie. This is covered by Google's own privacy policy.
reCAPTCHA is not used anywhere else on the site.
Help Chatbot #
The site has a help chatbot. If you use it:
- Your question is sent to outside AI services (Anthropic and OpenAI) so an answer can be written.
- We store your question, the answer, your IP address and your browser information, so we can check the chatbot is working properly.
- If the chatbot cannot help, your question may be passed to Admin.
- Please do not type private or sensitive information into the chatbot.
Posting a Casting Notice #
If you post a casting to find actors:
- Most of the information you post will be visible to the public.
- By posting, you agree to this.
- You will see on the form which fields are private and which are public.
- Your personal contact details (email, phone, etc.) are never shown publicly.
- We record your IP address when you post.
Email Contact #
If you contact us by email:
- Your message and our replies are stored permanently for reference.
- We do not share this information outside of Admin.
Visitors Who Do Not Register #
Apart from the technical data described above, we do not collect any information from visitors unless you contact us.
If you use our contact form, we will store:
- your name
- your email
- your message
- your IP address
Our Admin team can read and respond to your message. All messages are saved.
Registered Users #
When you join the site, we store all the information you enter.
- Your email is always hidden from the public.
This information is used to:
- create your account
- set up your profile
- send you notifications
- link you to suitable castings
When you make an important choice on the site, for example starting a subscription straight away, or cancelling and telling us why, we record your choice, the date, and your IP address. We keep these records as proof of what was agreed and to help us improve the site.
Users Aged 16 and 17 #
The rules about who may use the site are in our Terms of Use. This section only explains how we handle information for users aged 16 and 17.
- We store the same information as for adult users.
- We may ask for proof of age or of a parent's or guardian's permission, and we store what we receive.
- A parent or guardian can contact us about their child's information through our contact page.
- If we find a profile belonging to someone under 16, we delete it and its information.
Your Profile #
- By default, your profile is visible to the public. You can change this in your account settings.
- You can hide your profile or limit who sees it.
- You can mark any image or video as PRIVATE so it will not appear publicly.
- However, search engines may still index media before it is hidden or deleted.
- If you delete media from your profile, it stays on the server unless your entire profile is deleted.
You can:
- see, edit, or delete your personal data at any time (except your username)
- download your data on request
- delete your account at any time (if you have a subscription, cancel it first; see our Terms of Use)
Note: We may need to keep some data for legal, security, or admin reasons even after you have deleted your account.
Search Engines #
Search engines like Google may index your profile and any public content.
To avoid this:
- Do not add private information (e.g. address, phone) to your profile or files.
- Set your profile visibility to "registered users only."
PDFs and images may still be indexed even if marked private. Some search engines do not follow our robots.txt rules.
Important: If you upload images with GPS location data (EXIF), others may be able to extract that data.
Contact Forms #
When you message Admin or another user:
- We collect your name, email, profile link, IP address, and message.
- Admin and the other user can see this message.
- We store all contact messages in our system.
Applying to Castings #
When you apply for a casting:
- Applications are checked automatically and sometimes manually by Admin.
- Your application can be seen by Admin and the production team.
- Some or all of the data may be stored on our server and in our email system.
Search Results #
The search feature allows users and guests to search profiles.
- Your name may still appear in results even if your profile is private.
- To remove your name from searches, update your settings in your account.
We may log searches (including your unique enCAST ID) to improve the system.
Email Notifications #
When you join:
- We send casting alerts and welcome emails.
- You can adjust or stop these in your notification settings.
We also have optional newsletters and casting emails.
- You can subscribe or unsubscribe at any time.
Deleting Your Profile #
If you delete your profile:
- All your personal data and uploads (images, media) are deleted permanently.
- All messages (e.g. support messages, applications, etc) are retained; some may be anonymised.
Note: It may take time for search engines to remove your info from search results.
Emails Sent from the Site #
All site emails (e.g. applications, notifications) are sent through a secure third-party email service. They handle your message so it can be delivered, and they keep a record of:
- the sender and recipient email addresses,
- the time and date,
- and whether the message was received or opened.
They do not keep a permanent copy of your message.
The ACRM: Your Private Contacts #
The ACRM is a private address book. What you store in it, such as the people you have met, their contact details, birthdays, photos, your tags and your notes, is visible to your account alone. It is never shown to other members, never used to build public pages, and never shared with or sold to anyone. You can export everything it holds at any time as a standard vCard file, and deleting a contact, or your account, deletes the stored data.
Encrypted notes. The notes you write on your contacts are encrypted on your own device before they reach us, with a key that only you hold. We store only the encrypted form, and we cannot read, search or recover it. If you lose your recovery phrase and are signed out of all your devices, your notes cannot be restored by anyone, including us.
Automatic appearance traits. For Pro Actors, to fill in visible traits such as glasses, beard or hair colour, contact photos stored in your ACRM are processed by our AI provider, Anthropic, using its Claude service. Only the photo itself is sent, without names or any other details, and the result returned to us is a short list of visible traits. You can correct or remove any trait on the contact's edit page.
Your responsibility. The contacts in your ACRM are people you know and details you have gathered yourself, like any personal address book. Please only store information you have come by fairly and would be comfortable for the person concerned to know you keep.
Emails. The ACRM can send you a morning reminder when a contact of yours has a birthday. You can switch these emails off at any time in your email preferences or from the link in the email itself.
Technical Notes #
Some pages include embedded content from other sites (e.g. YouTube, Vimeo). These may:
- collect data about you,
- use cookies,
- track your activity, especially if you are logged into those platforms.

We may update this policy at any time. Please check this page regularly.
